refund & cancellation policy
How deposits, cancellations, rescheduling, and refunds work for tours, bookings, and events.
Overview
This policy explains how cancellations, rescheduling, and refunds are handled for Demo Room tours, venue bookings, and events. The specific terms for your booking are confirmed in your proposal or booking confirmation; where they differ, the confirmation governs.
Private tours
Tours are complimentary and by appointment. You can reschedule or cancel a tour at any time at no charge by contacting us. We appreciate as much notice as possible so we can offer the slot to someone else.
Deposits
Most venue and event bookings require a deposit to confirm and hold your date. Unless your confirmation states otherwise, the deposit secures the booking and is applied to your final balance. Deposits may be non-refundable for late cancellations as set out below.
Cancellation windows
Unless your written confirmation states otherwise: - 30+ days before the event: deposit is refundable, less any non-recoverable third-party or production costs already incurred. - 14 to 30 days before: deposit is forfeited; any additional payments are refundable. - Less than 14 days before: payments are non-refundable, as the date can no longer be reasonably rebooked.
Rescheduling
Where possible, we will work with you to move your date instead of cancelling. One reschedule with reasonable notice (typically 14+ days) can usually be accommodated subject to availability; deposits carry over to the new date.
Refund method and timing
Approved refunds are issued to the original payment method through our processor (Stripe). Once approved, refunds are typically processed within 5 to 10 business days, though the time to appear on your statement depends on your bank or card issuer.
Force majeure
If an event cannot proceed due to circumstances beyond reasonable control (for example, government orders, utility failure, extreme weather, or emergencies), we will work in good faith to reschedule or provide a fair credit. Non-recoverable costs already incurred may not be refundable.
How to request a cancellation or refund
Send your request in writing to hello@demo-room.com with your booking name and date. We will confirm receipt and the applicable terms. This policy does not limit any rights you may have under applicable consumer-protection law.
